A customer calls your main business number, hears the right greeting, reaches the correct department, and gets an answer whether the employee is at a desk, working from home, or using a mobile device. SIP trunking is the connection behind that experience. It links your business phone system to the public telephone network over an internet connection, replacing the physical phone lines that once limited how companies built and scaled their communications.

What Is SIP Trunking?

SIP stands for Session Initiation Protocol, a standard used to start, manage, and end real-time communication sessions. A SIP trunk is a virtual connection that carries voice calls between a PBX and a service provider. Instead of sending calls through a bundle of copper phone lines, it sends signaling and audio through IP networks.

The word “trunk” comes from traditional business telephony, where a trunk was a line shared by multiple extensions. The concept remains useful: one SIP trunk can support multiple concurrent calls, based on the capacity your organization purchases or configures. Employees still have extensions and direct numbers. Customers still dial a regular phone number. The difference is how those calls enter and leave the phone system.

A SIP trunk is not a PBX by itself. The PBX is the control center that decides what happens to calls. It can send a caller to an IVR menu, route them to a sales queue, forward calls after hours, ring a group of technicians, or connect a Microsoft Teams user. SIP trunking provides the external telephone connection that lets the PBX reach callers outside the organization.

How SIP Trunking Handles a Business Call

When someone calls your published business number, the SIP provider receives the call and passes it to your PBX through the SIP trunk. Your PBX applies the rules you have set. During business hours, that might mean playing a greeting and offering options for sales, support, and billing. After hours, it may play an opening-hours message and send urgent calls to an on-call mobile number.

For outbound calls, the process runs in reverse. An employee uses a desk phone, softphone, mobile app, or Teams integration. The PBX applies permissions, caller ID rules, and dialing policies, then sends the call through the SIP trunk to the provider and on to the destination number.

This separation is valuable because it keeps call handling under your control. You can change a queue, ring group, time condition, or forwarding destination in the PBX without redesigning the external connection. Traditional PRI and analog lines were built around fixed capacity. Cost is another factor, although the lowest price is not always the lowest total cost. A self-hosted PBX can suit organizations that require direct infrastructure control, have internal IT expertise, or operate in environments with specific compliance requirements. It provides ownership of the system configuration, but the organization is responsible for hosting, monitoring, updates, backups, and resilience planning.

A cloud PBX reduces that operational work. It can be a better fit for distributed teams and businesses that want to deploy quickly without maintaining server hardware. The trade-off is that vendor reliability, data location, integration options, and administrative access become more important parts of the evaluation.

Some businesses need local phone numbers in several markets, while others only need a main number and a few direct-dial extensions. Some need unlimited calling plans; others benefit more from usage-based pricing. Ask how numbers are provisioned and ported, what happens during an outage, how emergency addresses are managed, and whether the provider supports the codecs and authentication methods required by your PBX.

A Practical Rollout Approach

A successful migration begins with call-flow mapping, not with the trunk order. Document every existing main number, direct number, department, after-hours route, fax dependency, and emergency location. Identify which calls must continue without interruption and which legacy processes can be retired.

Next, build the PBX configuration before porting numbers. Set up extensions, IVRs, queues, business-hour schedules, caller IDs, voicemail, and fallback routes. Test inbound and outbound calls with temporary numbers, including transfers, voicemail, mobile forwarding, and calls to emergency services where applicable. Test what happens when an employee does not answer and when your primary internet connection is unavailable.

Only then should you schedule number porting. Porting is usually straightforward, but it is not instant and can be delayed by incorrect account details or mismatched authorization information. Keep your old service active until the port is confirmed, and plan the change during a period when your team can monitor calls and resolve issues quickly.

The best SIP trunking setup is not the one with the most technical options. It is the one that gives callers a clear path to the right person, gives administrators control without constant manual work, and lets the business add capacity when it actually needs it.
